Patient Flow, Transcription, Exam, SOAP, and Discharge
This guide walks through the core visit flow in PawthosX One, from opening the EMR to completing the appointment.

Start the visit
Select EMR from the home screen.
Choose the patient or appointment you want to work on.
From the Review or Journey Map page, click Start Visit.
Use live transcription
Once inside the record, click Start Recording to begin live transcription and ambient SOAP note support.
To pause the recording, click the Pause button.
When finished, click Stop.
Complete the exam
Open the Exam section to document the physical exam.
This area includes:
Physical exam findings
Vitals
Body Condition Score
Colorado Fear Score
Mass map
Additional exam details
Fill in the exam as needed during the visit.
Add lab reports
Use the Labs section to upload lab report PDFs.
Drag and drop the PDF into the upload area. Once uploaded and approved, the lab information will appear natively inside PawthosX One when it is related to the visit.
Labs added here will also be included in the discharge record.
Manage treatment plans
Open the Treatment Plan section to manage visit charges and services.
Each item should be marked as:
Performed
Declined
Sample
Billable
Items added by mistake can be removed using the trash icon.
You can also present the treatment plan to the client or link an existing estimate.
Mark declined services
When a client declines a service, you can optionally add a reason.
Example reasons may include cost concern, wanting to wait, or preferring an alternative.
Convert to invoice
Once all treatment plan items are performed, declined, approved, or removed, the Convert to Invoice button will appear.
Click Convert to Invoice to turn the treatment plan into an invoice.
Generate SOAP notes
After the visit information is complete and the transcript is approved, PawthosX One will prompt you to generate SOAP notes.
SOAP notes are editable until they are approved and locked.
Once approved, SOAP notes can only be amended.
Create the discharge document
Click Discharge to create a client-friendly visit summary.
The discharge document can be sent, printed, or provided to the client at checkout.
Once all required steps are complete, you will see the Complete Appointment button.
