It defines how your clinic operates, how your team works, how your system integrates with equipment and partners, and how clients experience your services.

ControlHub ensures ClinicOS matches your hospital’s protocols, compliance standards, communication preferences, and operational workflows.

Nothing in ClinicOS happens by accident — ControlHub defines it.

ControlHub governs system-wide behavior across:

  • integrations

  • financial and tax logic

  • lab analyzers

  • user permissions

  • automation rules

  • templates

  • controlled substance gates

  • security preferences

  • API access

  • usage limits and monitoring

  • location-specific policies

Every ClinicOS deployment is shaped by ControlHub.

Nothing in ClinicOS is random — it’s all intentional, administrator-defined, and audit-tracked.

ControlHub Overview

ControlHub contains six major configuration zones:

  1. Global Settings

  2. Clinic Settings

  3. User Settings

  4. Template Settings

  5. Integration Settings (Lab & Third-Party)

  6. System Settings (Permissions, API, Usage & Compliance)

Each controls a different layer of your veterinary operating environment.

5. Integration Settings (Lab & Third-Party)

(Device & data source configuration)

This is where ClinicOS connects to external systems.

Lab Analyzer Settings

Configure on-site diagnostic machines securely and consistently.

Supported categories include:

  • hematology

  • chemistry

  • electrolytes

  • coagulation

  • urinalysis

  • digital cytology

Features

  • device pairing

  • reagent lot/expiration tracking

  • auto-upload results to patient record

  • panic-value alerts

  • quality control logs

  • instrument status monitoring

Each machine can be configured with:

  • reference ranges

  • analyzer ID

  • automatic linking rules

  • review-required routing (e.g., DVM review before client visibility)

Third-Party Integrations

Depending on clinic needs, you configure:

  • external labs

  • imaging systems

  • external appointment systems (if used)

  • analytics or reporting hooks

Configurable Points

  • API keys

  • allowed data types

  • routing preferences

  • permissions

  • review-before-logging rules

  • security restrictions

Clinics maintain full control of what enters their records.

6. System Settings (Permissions, API, Usage & Compliance)

This section governs system safety, user capabilities, and how ClinicOS connects outward.

User Permissions

Role-based access control with granular toggles for:

  • prescribing

  • controlled substance approvals

  • inventory adjustments

  • form template editing

  • template management

  • payments & refunds

  • HomeDelivery

  • MsgBoard categories

  • RDVM Portal permissions

  • CaseFolder editing

  • schedule editing (OurWork)

  • lab result approval

  • patient record locking/unlocking

Every permission change is audit-logged.

API Settings

For clinics using external systems or building their own tools.

Includes:

  • API key creation

  • key rotation

  • usage logs

  • endpoint access rules

  • read/write restrictions

  • IP allowlisting

  • data export controls

ClinicOS exposes only the endpoints you authorize, with no open access.

Usage Settings

Controls around:

  • daily or monthly usage thresholds

  • safety limits (e.g., max SMS sends per hour)

  • anti-spam protections

  • AI usage quotas (for clinics with usage caps)

  • automation throttling

  • time-based access rules (after-hours restrictions)

Usage Settings protect system stability and prevent misuse.

How ControlHub Works (Operational Model)

Role-Based Access

  • Global → System Admin

  • Clinic → Admin/Manager

  • User → Individual

  • Templates → Admin/Manager/Lead

  • Integrations → Admin + designated technical roles

  • Permissions/API → Admin only

Real-Time Propagation

Changes propagate instantly:

  • booking pages update

  • MsgBoard templates refresh

  • lab analyzer data routing changes

  • inventory rules adjust

  • automation triggers update

  • MyPet behavior changes

No reboot or downtime required.

Example in Action

Your clinic wants to enable in-house lab auto-review.

  1. Admin opens ControlHub → Integration Settings → Lab Machines

  2. Enables “Auto-Attach Results After Technician Review”

  3. Defines panic ranges for chemistry panels

  4. Routes abnormal results to MyTasks for DVM review

  5. Updates messaging template: “Your pet’s lab results are under review”

  6. Turns on form automation to collect pre-op history when labs are ordered

  7. Updates inventory auto-deduct rule for consumables tied to lab tests

Everything integrates across the system instantly.

Important Notes

⚠️ Only authorized admins should modify system-level settings.

Changes can impact compliance, payments, scheduling, and medical workflows.

⚠️ Labs, E-DEA, and prescribing controls require strict oversight.

Incorrect settings can create regulatory issues.

⚠️ API access must be tightly controlled.

Keys should be rotated regularly.

⚠️ All templates and forms are the responsibility of the clinic.

ClinicOS does not provide legal or medical language validation.

⚠️ Configuration changes apply immediately.

Always verify settings before saving. All changes Auto-Save and request "Apply All Confirmation" prior to departing the page.
