Adding Automatic Discounting Tags

Tags in PawthosX One can do more than organize records. They can also trigger automated reminders or tasks, allowing your team to build workflows around specific patients, clients, appointments, invoices, visits, or inventory items.

Create a Tag

Go to:

Settings β†’ Automation & Rules β†’ Tags

Select Add Tag.

Configure:

  • Name β€” What your team will see, such as Penicillin Allergy, Food Aggressive, or Discount for Rescue

  • Description β€” Additional context for the tag

  • Color β€” Makes tags easier to recognize throughout PawthosX One

  • Applies to β€” Choose where the tag can be used: Patient, Client, Appointment, Invoice, Visit, or Inventory Item

  • Severity β€” Optional. Choose None, Low, Normal, High, or Critical to turn the tag into an alert-level indicator

Select Create when finished.

Tags can be edited, activated, or deactivated at any time. The In Use column shows how many records currently use each tag.


Create a Reminder Rule

Go to:

Settings β†’ Automation & Rules β†’ Reminder Rules

PawthosX includes rules for common workflows such as vaccine and expiry reminders. You can also select Add Rule to create your own.

1. Define what the rule creates

Enter a Name and optional internal description, then choose:

Kind
The workflow the rule belongs to, such as Wellness or Billing.

Creates a
Choose whether the rule should create a Reminder or a Task.

Then configure the category, title, and details that should appear on the created item.


2. Choose the Trigger

Select what should cause the rule to run.

For a tag-based workflow, choose:

When a tag is applied

Then select the tag that should trigger the rule.

Example:

Tag applied: Discount for Rescue
Creates: Billing reminder

Whenever that tag is applied to an eligible record, PawthosX evaluates the rule automatically.


3. Set the Due Date & Schedule

Choose how long after the triggering event the item becomes due.

For example:

Due after tag is applied: 12 months

You can then add reminder times relative to that due date, such as:

  • 1 month before

  • 2 weeks before

  • 1 week before

  • On the due date

  • After the due date

For clinical reminders, you can also enable Complete automatically when the care recurs when appropriate.

Important: If the due date is set to 0 months, the due date is the same day the rule is triggered. Reminder times scheduled before that date cannot occur.

The Preview shows exactly what the rule will do before you save it.

Add Conditions

Conditions let you control which records qualify for the rule.

You can restrict a rule using:

Species β€” Canine, Feline, Avian, Rabbit, Reptile, Small Mammal/Rodent, or Other
Age β€” Set minimum and/or maximum age
Required Tags β€” The record must have the selected tags
Excluded Tags β€” Prevent the rule from running when selected tags are present

This lets you build highly specific workflows without requiring your team to manually manage every reminder.


Example

A clinic could create a Discount for Rescue patient tag and then create a Reminder Rule that automatically generates a billing-related reminder whenever that tag is applied.

The result: the team applies the tag once, and PawthosX handles the workflow from there.
