It organizes referral submissions, tracks patient status, controls record-sharing, and provides a dedicated portal for referring veterinarians (RDVMs) — all while maintaining strict control over what your clinic shares.

ReferralHub is designed to make specialty, emergency, and general practice collaboration clean, consistent, and audit-ready, without relying on external email threads, PDFs, or phone tag.

What CaseConnect Does

1. Centralizes All Referral Activity

ReferralHub consolidates:

  • incoming RDVM referrals

  • case submissions

  • clinical notes sent by referring vets

  • status updates

  • RDVM questions & messages

  • records requests

  • documents provided to RDVMs

  • case summaries

Everything lives in one place, tied to the correct patient.

2. Provides a Controlled RDVM Portal

Your clinic can give referring partners secure access to a branded RDVM Portal.

You decide which partners receive access and what they can view.

RDVM Portal Features

Referring veterinarians can:

  • submit referrals

  • direct-book appointments (if you enable it)

  • upload records

  • send case notes

  • receive automatic updates during treatment

  • view only the records your clinic explicitly approves

  • download discharge summaries

  • see diagnostics & labs shared by your team

  • use TriageAI for general acuity guidance (advisory-only)

At no time can RDVMs see:

  • unrelated patients

  • clinic-internal notes

  • billing or financial information

  • any records not explicitly shared by your team

You maintain full control.

3. Tracks Case Status from Start to Finish

Each referred case includes:

  • reason for referral

  • originating RDVM

  • intake documents

  • appointment status

  • diagnostics

  • treatment plan

  • communications

  • discharge summary

  • follow-up tasks

  • record-sharing history

  • completion status

No more chasing paper or email scatter.

4. Integrates with CaseFolder, MsgBoard, and Workflow

ReferralHub works seamlessly with the rest of ClinicOS:

  • All RDVM messages appear in MsgBoard

  • All case activity appears in CaseFolder

  • Any required action appears in Workflow

  • Discharges update the RDVM Portal automatically

  • Shared items are logged in the audit trail

This ensures nothing is lost between clinical, administrative, and communication layers.

How ReferralHub Works

1. Receiving a Referral

When an RDVM submits a referral (via portal or manual entry):

ClinicOS auto-creates:

  • patient profile (if new)

  • client record

  • referral case record

  • initial triage status

  • attachments (labs, x-rays, documents)

Staff can update case details before triage or booking.

2. Reviewing and Managing Referral Cases

Inside ReferralHub, teams can:

  • review incoming cases

  • attach diagnostics to the patient record

  • request clarification from RDVM

  • assign a DVM or service line

  • schedule appointments

  • update case status

  • upload internal records to share back

All actions are logged.

3. Direct Booking (Optional)

If enabled, RDVMs can:

  • book specialty or referral appointments directly

  • pick from allowed providers or service lines

  • upload corresponding documents

  • receive confirmations automatically

You control:

  • availability

  • appointment types

  • requirements

  • document uploads

  • limits per RDVM

4. Record Sharing Controls

Your clinic chooses exactly which items to release in the RDVM Portal.

You may share:

  • discharge summaries

  • diagnostics

  • treatment plans

  • select visit notes

  • medication lists

  • imaging

  • lab results

You may not share:

  • internal discussions

  • billing data

  • staff-only notes

Record releases are:

  • logged

  • time-stamped

  • user-tagged

For full traceability.

5. Status Updates

Every major milestone triggers optional updates to the RDVM:

  • Appointment booked

  • Patient admitted

  • Diagnostics completed

  • Treatment performed

  • Discharged

  • Follow-up recommended

These maintain continuity of care without adding phone burden.

Example in Action

A general practice vet refers a dog for a suspected cruciate tear.

  1. RDVM submits the case through the RDVM Portal with notes and radiographs.

  2. ReferralHub creates the referral case and links everything automatically.

  3. Your team reviews the submission, assigns the case to the orthopedic DVM, and books an evaluation.

  4. DVM examines the patient and uploads diagnostics.

  5. Pre-op and post-op notes are shared back to the RDVM with one click.

  6. Discharge summary automatically appears in the RDVM Portal.

  7. Follow-up tasks are created in MyTasks for suture removal and check-in.

  8. The entire journey is visible in CaseFolder.

The RDVM sees only the information your clinic authorized — nothing more.
