It consolidates all responsibilities — clinical, administrative, communication-based, and workflow-driven — into a single, prioritized task list that keeps work visible, organized, and impossible to lose.

MyTasks ensures nothing is forgotten, nothing gets buried, and every team member knows exactly what needs to be done next.

This is your clinic’s “next action” system — built to reduce cognitive load, prevent dropped balls, and keep care moving smoothly.

How MyTasks Works

1. Automatic Task Creation

Tasks appear in MyTasks when:

  • a workflow step requires your role

  • you were directly assigned

  • your role is responsible for the next step

  • a lab result matches your review rules

  • inventory alerts require action

  • a client submits something requiring approval

  • forms complete with a “request review” tag

  • a delivery or refill reaches a review stage

  • an RDVM submits new referral details

  • a controlled substance enters the approval gate

Nothing relies on memory or manual tracking.

2. Prioritization & Sorting

MyTasks automatically categorizes tasks into:

  • Urgent

  • Today

  • Upcoming

  • Completed

Staff can sort by:

  • type

  • patient

  • due date

  • priority

  • source (Labs, Forms, MsgBoard, Delivery, Workflow)

3. Drill-Down Detail View

Clicking a task shows:

  • patient details

  • context and history

  • linked visit

  • linked conversation (MsgBoard)

  • linked documents or forms

  • clinical notes

  • audit trail

  • action buttons (approve, deny, complete, send message)

You never have to leave the page to understand what needs to be done.

4. Completing a Task

Tasks may require:

  • approving or denying

  • sending a response

  • updating a record

  • signing a result

  • adjusting a CarePlan

  • communicating with a client

  • documenting a follow-up

  • dispensing a medication

  • submitting an E-DEA correction

Once completed, the task:

  • moves to Completed

  • records your name, timestamp, and action

  • adds the activity to the patient’s CaseFolder

Types of Tasks in Detail

1. Lab Result Tasks

When new lab results arrive:

  • tech-level review (optional)

  • DVM-level review (required for clinical release)

  • panic ranges escalate to urgent

Actions may include:

  • mark as reviewed

  • create callback

  • attach results to the chart

  • update treatment plan

  • notify client

2. Medication & Refill Tasks

Generated when:

  • clients request refills

  • MyPet requests come in

  • staff initiate a refill

  • RXGuard flags concerns

  • controlled substances require prescriber approval

Prescribers verify:

  • dose

  • drug choice

  • interval

  • clinical appropriateness

  • DEA accuracy

3. Client Communication Tasks

From MsgBoard and MyPet:

  • unanswered client questions

  • urgent medical inquiries

  • file uploads needing review

  • follow-up requests

  • form clarifications

4. Forms Tasks

Triggered when forms:

  • require approval

  • require counter-signature

  • contain flagged answers

  • need staff follow-up

5. HomeDelivery Tasks

Delivery tasks include:

  • approval

  • dispense preparation

  • ready-to-dispatch

  • delivery confirmation

6. ReferralHub Tasks

When a referring veterinarian:

  • submits a case

  • asks a question

  • uploads new information

  • requests an update

Referral tasks ensure continuity of care.

7. E-DEA Tasks (If Enabled)

These appear when:

  • controlled prescriptions require approval

  • E-DEA corrections are submitted

  • logging discrepancies need review

  • 2FA verification is triggered

E-DEA tasks are restricted to authorized staff.

8. Operational Tasks (OurWork)

Tasks may include:

  • missed punch reviews

  • schedule conflicts

  • shift swap approvals

  • PTO request approvals

Example in Action

A client submits a refill request for Luna’s gabapentin through MyPet.

  1. The request enters MyTasks for the assigned DVM.

  2. RXGuard surfaces dosing, interval, and interaction checks (advisory only).

  3. DVM reviews clinical history and approves the refill.

  4. Task is marked complete → the refill automatically moves into HomeDelivery prep.

  5. Client receives a message automatically.

  6. CaseFolder logs the entire sequence.

A full workflow — handled from a single task.

Important Notes

⚠️ MyTasks does not replace clinical judgment.

Review tasks involving medical decisions always require human verification.

⚠️ Prescription and diagnostic tasks must be handled by authorized staff.

⚠️ Task delegation does not transfer legal or medical accountability.

⚠️ Clinics are responsible for defining role-based task permissions.

⚠️ Tasks remain until completed — snoozing does not remove responsibility.
